What Fleetbrain doesFleetbrain covers the compliance and admin side of running a fleet. In one place you get MOT and tax reminders, secure document storage, driving licence checks, and an AI assistant that ties it together. The sections below walk through each of these in turn.
MOT and vehicle tax reminders tied to DVLA renewal dates, so nothing expires without warning.
Document storage for V5Cs, insurance certificates, service records, receipts, and anything else that needs to be on file.
Driving licence checks via the DVLA's Access to Driver Data service. View entitlements, spot endorsements, and get alerted if a driver gains points.
An AI assistant that surfaces what needs attention across the fleet: upcoming renewals, expiring documents, drivers approaching points thresholds.
Adding vehicles

Go to the Fleet tab at the top of the page, or visit fleetbrain.co.uk/dashboard.

Click "Add Vehicle" in the top right.

Type the registration number into the popup field and press Enter.

The vehicle appears in your dashboard with its MOT status, tax status, and more.

Repeat for each remaining vehicle.
Once added, you'll get email reminders at 30 days, 7 days, and 1 day before any MOT or tax expires. Nothing to configure.
Viewing and managing your vehiclesEach vehicle in your dashboard has three buttons: Details, Documents, and AI Chat.
DetailsOpens the full vehicle spec and MOT history. Each MOT entry can be expanded to show advisories or dangerous defects.
DocumentsA secure file store for everything associated with that vehicle. Think of it as a digital filing cabinet you can open from any device. Useful for:
V5C (logbook) scans
Service records
Maintenance receipts and invoices
Insurance records
Background reports
To upload a file, drag and drop it onto the drop zone or click to open the file picker. Choose a document type for categorisation, add any notes, and click "Upload file". The file is saved immediately and stays there until you delete it.
AI ChatLets you ask questions about the vehicle. It draws from the MOT history and any documents you've uploaded. It's probably the most underused feature once people have their records uploaded. Some examples of what you can ask:
"What are the biggest red flags in the MOT history?"
"When was the last service?" (once you've uploaded the service records)
"What is the V5C reference number?" (once you've uploaded the V5)
